Define who is a genuine fit
Describe the business situation where your service is useful, the roles involved and the signals that suggest the timing may be right. A focused audience makes it easier to research and communicate with care.
Lead with context
Before contacting someone, understand their role and public business context. Explain why you are reaching out in a sentence that is specific, accurate and easy to verify. Do not imply a personal relationship or shared experience that does not exist.
Offer a useful next step
Make a simple invitation: share a relevant resource, ask one thoughtful question or offer a short discussion. Give the recipient room to decline without pressure.
Follow up with restraint
If there is no response, a brief follow-up may be appropriate after a reasonable interval. Stop when someone declines or asks not to be contacted. Keep contact data current and follow the rules that apply to your market and channel.
Measure relevance, not just volume
Track qualified replies, useful conversations and next steps alongside response rates. Review whether the people contacted match your intended audience and whether the outreach is clear about its purpose.
